This notice explains how Oakridge Property Investments Ltd uses personal information when you visit our website, make an enquiry, communicate with us or use our property services. It is information for you, not a request to agree to all processing or subscribe to marketing.
1. Who is responsible for your information?
Oakridge Property Investments Ltd is the controller of the personal information described here. We are registered in England and Wales, company number 16490813. Our registered office is Flat 68 Jubilee Heights, Parkside Avenue, London, England, SE10 8FN.
For privacy questions or to exercise your rights, email enquiries@oakridgepropertyinvestments.com, call 01522 710 860, or write to our registered office. Please do not send card details or sensitive financial documents in an initial enquiry.
2. Information we use and where it comes from
- Enquiries and conversations: your name, email address, telephone number, messages and information you choose to give us about your property objectives, available-capital range, timeframe and preferred involvement. We receive this directly through forms, email, calls and meetings.
- Client and project administration: contact, property, project, agreement, invoice and payment-reference information needed for the service you request. Where an adviser, introducer or project contact supplies your information, we use it for the relevant introduction or project and can explain its source.
- Website operation: technical request information, such as IP address, browser/device information, requested pages and security logs, may be processed by our hosting and form providers to deliver and protect the service.
- Optional measurement: with your cookie choice, Google Analytics receives browsing and interaction information, such as page visits, investor-pack downloads, call/email clicks and completed enquiries. See section 5.
You can browse without completing an enquiry. If you do not provide a way to contact you, we may be unable to reply; information necessary to verify an invoice or administer an agreed service is needed for that function. An enquiry does not commit you to invest or automatically book an appointment.
3. Why we use information and our lawful bases
- Answering enquiries and discussing suitable services: our legitimate interests in responding to people who contact us and running our business; where you ask us to take steps towards a contract with you, those pre-contract steps.
- Delivering an agreed service and administering payments: performance of our contract with you, or our legitimate interests in administering a business relationship when you act for another person or organisation.
- Accounting and legally required records: compliance with applicable legal obligations.
- Website security, fraud prevention and handling disputes: our legitimate interests in protecting people, information and our business, and legal obligations where applicable.
- Optional analytics and advertising-related tracking: your consent, controlled through Cookie preferences.
- Optional promotional messages: consent where required. Sending an enquiry is not, by itself, consent to unrelated marketing. You can ask us to stop promotional contact at any time.
Where we rely on legitimate interests, we must consider your interests and rights as well as ours. We do not treat permission to make a payment as blanket consent for unrelated uses of your information.
4. Enquiries, service providers and online payments
Our website enquiry flow uses HubSpot. Selecting Continue loads the existing HubSpot form for you to review and submit; contact details and your enquiry preferences may be passed into that form. Loading the form is not the same as successfully submitting it. HubSpot processes form and technical information as described in its privacy policy.
Website hosting and delivery providers, email and business-system providers, and professional advisers may process information needed to support the relevant service. Information may also be shared with project participants where necessary for the project you ask us to arrange, or with authorities where legally required. We do not promise that no third parties receive information: using hosted forms and business systems involves service providers.
When our online payment service is available, identification and reference information is used to match your payment to the relevant client or project record. Invoice number and postcode are checked before invoice details are displayed. Card details are entered into Stripe Checkout, not stored in the Oakridge website. Stripe and relevant payment providers process payment information under their own responsibilities; see Stripe’s privacy policy. Payment availability and the invoice system used depend on the service configured for your payment.
5. Cookies, local storage and your choices
Use Cookie preferences in the website footer to reject optional tracking, allow analytics only or accept all available optional categories. Rejecting optional tracking does not prevent you making an enquiry. You can change your choice later.
- Your preference: the website stores its consent choice in local storage under
oakridge-consent-v1for up to 180 days. This remembers your choice; it is not an advertising identifier. - Analytics: Google Analytics is configured and loads only after you allow it. Our own event code does not send your name, email address, telephone number or enquiry message to Analytics. Google can still process technical identifiers and usage data.
- Advertising-related features: accepting all allows advertising-related consent signals. Google Ads conversion measurement runs only if configured; it is not currently configured in the website’s public settings. Analytics-only does not enable advertising personalisation signals.
- Forms and payments: third-party services loaded when you choose to use them can use technologies necessary to provide and secure those services. Their notices explain their processing.
Google measurement can use cookies such as _ga and related identifiers. Provider settings and browser behaviour determine their lifetimes; see Google’s cookie information and privacy policy. Browser settings can also clear cookies and local storage, which may remove your saved preference.
6. How long information is kept
We keep personal information only for as long as needed for its purpose. The criteria depend on the record: whether an enquiry is still active; whether we have an ongoing client or project relationship; the records needed to explain and account for a transaction; applicable legal and tax record-keeping duties; and the need to establish, exercise or defend legal claims. Information is not automatically deleted simply because an enquiry ends where one of those reasons still applies.
Cookie-choice storage has the period described above. Different business-system, backup and provider records can have different retention arrangements. Contact us if you need the applicable retention criteria for a particular record. We do not make a blanket promise to erase every record within 28 days.
7. International processing and security
Our hosting, form, analytics and payment services can involve processing outside the UK. The location and transfer arrangements depend on the provider and service; an EU-hosted form does not necessarily mean all related processing stays in the EU. Applicable UK data-protection rules require an appropriate basis for restricted international transfers, such as an applicable adequacy arrangement or approved contractual safeguards. Contact us for information about the arrangements applicable to your data and how to obtain relevant safeguards. Provider privacy notices linked above give further information; this notice does not claim that all information stays in the UK or only in countries covered by adequacy decisions.
Access and security measures should reflect the sensitivity of the information and the service used. No internet transmission or storage system is completely secure. Please contact us promptly if you suspect misuse of information you have supplied to Oakridge.
8. Your rights and how to contact us
Depending on the processing and applicable law, you can request access to your personal information, correction, erasure, restriction and data portability. You can withdraw consent without affecting the lawfulness of processing before withdrawal. These rights are not absolute; for example, some records may need to be retained to meet legal obligations.
Your right to object: you can object to processing based on legitimate interests for reasons relating to your situation. You can object to use of your personal information for direct marketing at any time.
Contact us using the details in section 1. You do not need to use a special form or make a request only in writing. We may ask for proportionate information to establish your identity or clarify the request. Requests are normally handled without charge and within the applicable statutory timescale, generally one month, subject to lawful extensions or other provisions.
You can complain to the Information Commissioner’s Office (ICO). You do not have to contact us first, although we welcome the chance to resolve your concern.
9. Changes and other services
We will update this notice when relevant practices change; the revision date appears at the top. Using the website does not mean you consent to every future change. Separate information may be provided for a specific project or service. Other websites linked from ours have their own privacy notices.
